3. Children's information
Many of the students we teach are under 18. We collect students' information from their parent or guardian, and we only use it to provide and manage their tuition. If you're under 18 and want lessons, please ask your parent or guardian to contact us.
4. How we use your information
The law says we must have a valid reason (a "lawful basis") for using personal information. Ours are:
| What we use it for | Lawful basis |
|---|---|
| Replying to your enquiry and arranging a consultation | Taking steps at your request before entering into a contract, and our legitimate interest in responding to enquiries |
| Providing lessons, lesson plans and progress reports | Performing our contract with you |
| Invoicing and keeping financial records | Performing our contract, and our legal obligations (for example, tax law) |
| Keeping students safe | Our legal obligations and legitimate interests, and protecting someone's vital interests in an emergency |
| Sending news or offers by email | Only with your consent, which you can withdraw at any time. We don't currently send marketing emails. |
5. Who we share it with
We never sell your information. We only share it with trusted service providers that help us run Educad, and only as much as they need:
- Formspree, Inc. (USA), which receives enquiries sent through our website form and passes them to us by email
- Our email provider: [e.g. Google Workspace or Microsoft 365]
- Our online lesson platform: [e.g. Zoom, Google Meet or Microsoft Teams]
- Our website host: [hosting company]
- Our bank and accountant, for payments and accounts
We may also share information when the law requires it, for example with the police or local authority to protect a child.
6. Transfers outside the UK
Some of our providers, such as Formspree, store information outside the UK. When this happens, we make sure appropriate safeguards are in place, such as UK "adequacy regulations" or the UK International Data Transfer Agreement or Addendum.
7. How long we keep it
- Enquiries that don't lead to lessons: deleted within 12 months
- Student and lesson records: kept while lessons continue, then deleted within [12 months] of the last lesson
- Invoices and financial records: kept for 6 years, to meet HMRC requirements
8. Your rights
You have the right to:
- ask for a copy of the information we hold about you or your child
- ask us to correct information that's wrong or incomplete
- ask us to delete information
- ask us to limit how we use it, or object to us using it
- ask us to transfer it to another organisation
- withdraw your consent at any time, where we rely on consent
To use any of these rights, email register@educad.uk. It's free, and we'll reply within one month.
9. Keeping your information safe
We use appropriate technical and organisational measures to protect personal information, and only people who need it to provide our services can access it. Our website uses an encrypted (HTTPS) connection.
10. Complaints
If you're unhappy with how we've used your information, please contact us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or by calling 0303 123 1113.
